Let’s face it: product development teams are about as unique as the products they build. They all share a mission to build the world’s greatest product. Aligning every team member on the road to stardom, however, is by far the most challenging part. In my many years as a product designer, I’ve learned how to become a product manager on the go as well, and if there’s one thing I learned, it’s not to fall for the typical Scrum or one of its Agile siblings, just for the sake of it. Because what if your SaaS team just doesn’t vibe with sprints, burndown charts, or daily standups where everyone prays for a better Wi-Fi connection? The good news: you can build a killer product management system that suits your team, without becoming a slave to the methodology flavor of the month. Let’s dive into how.
The heart of any product management system is that everyone understands:
Sounds simple, but sticky notes and wishful thinking won’t cut it for SaaS teams. Pick a tool (Trello, Asana, Notion, Jira – whatever gets people logging in!) and design your workflow so even Gary from QA can see what’s going on. At Atlassian, they call this “work as a platform”; at Basecamp, it’s “radical transparency.” Use clear status columns or kanban boards as visual anchors for conversations, not just task lists.
You do not have to lock your team into two-week cycles just because it sounds “Agile.” Instead, find a workflow rhythm that suits your product’s pace and your team’s personalities:
Slack, for example, uses “Bulldozed Planning” – short, focused efforts around upcoming releases, with lots of casual check-ins. No daily standups, but everyone knows the ship date.
Great SaaS teams treat their workflow as a living thing, like a pet goldfish (but hopefully more resilient). Instead of annual retrospectives, bake feedback into the process:
Tools like Miro or Figjam help teams express ideas visually; the point isn’t the canvas, but the conversation.
As your team adapts, make alignment a practice, not an event. In most SaaS-teams I’ve worked with, we abided by some of the following rules:
At Figma, for instance, teams have “project leads” instead of fixed PMs, allowing leadership to move with the team’s needs.
Product development teams should be wary of falling into classic traps like poor product definition, building features nobody really needs, or losing sight of the user’s actual problems. Instead of rigidly following cookie-cutter processes, teams thrive when they pragmatically adapt their workflow – making room for honest feedback, prioritizing real customer needs, and staying flexible as circumstances change. It’s not about chasing perfection from day one or stuffing the roadmap with shiny extras; it’s about validating assumptions early and iterating purposefully, so every adjustment brings the team closer to both business goals and product-market fit (without losing their sanity along the way). A few common pitfalls I found in almost every project I worked on, and what to watch out for:
Your product management system is only “the right fit” if your team says so. Every few months, pause and reflect—what’s working? What’s not? Let evolution be your guide, not dogma.
So, forget the buzzwords (unless you really like them in meetings). Instead, build, listen, adapt, and most importantly – make it work for you, not the other way around.
And if you ever need a break, remember: the best alignment tool is usually coffee. Preferably shared over a chat – not a daily standup.

Contactformulier. Naam, e-mailadres en wat je zelf invult (geen gevoelige gegevens zoals gezondheids- of strafrechtelijke informatie, of rekeningnummers). We gebruiken dit om te antwoorden op je vraag en, met je toestemming, om je onze nieuwsbrief te sturen.
Sollicitaties. Je gegevens gebruiken we om je op de hoogte te houden van je sollicitatie, en — als er geen passende functie is — om je gegevens tot 5 jaar in een wervingsreserve te bewaren, tenzij je je daartegen verzet.
Gebruiksgegevens. IP-adres, apparaattype, browser, taal, geografische locatie en bezoekgedrag op de site. Dit helpt ons de site te beveiligen, beschikbaar te houden en te verbeteren. Geanonimiseerde data valt buiten deze policy.
Standaard bewaren we persoonsgegevens maximaal 1 jaar, tenzij:
Trek je je toestemming in of maak je bezwaar? Dan verwijderen we je gegevens, behalve wat nodig is om die keuze zelf te blijven respecteren.

Zijn we wettelijk verplicht om gegevens te delen, of nodig om iemands vitale belangen te beschermen? Dan doen we dat. Buiten dat delen we nooit gegevens met derden zonder je medeweten. Onze site linkt naar LinkedIn — klik je door, dan gelden hun eigen privacyregels.
Waar mogelijk verwerken we gegevens binnen de Europese Economische Ruimte. Gebruiken we een tool die buiten de EER host (bv. Amerikaanse cloudproviders), dan zorgen we voor passende waarborgen zoals modelcontractbepalingen (Standard Contractual Clauses).
